Duties and Responsibilities

Provides executive level administrative support to the Office of the Graduate School; prepares, revises and proofreads manuscripts, correspondence, charts, forms and other material from copy created by others; drafts replies to general inquiries which do not require technical program knowledge; signs routine correspondence of a non-technical nature; serves as subject matter expert for PeopleSoft; enters, updates and retrieves information stored in files and databases and customizes special reports; handles all paperwork for the graduate assistantship program; develops process for managing databases used for internal marketing of graduate students, personnel and alumni; prepares and documents functional specs and works with application developers on post production matters and upgrades; researches, analyzes and summarizes information and source materials for reports independently and communicated findings orally and in writing; receives/reads and summarizes/prioritizes incoming correspondence and information; receives and screens telephone calls and visitors; assists in data conversion and data mapping strategies; makes all necessary arrangements for the deans travels, conference registration, hotel reservations, keeps and processes his travel records to be sent forth to the Provost; records and independently performs required administrative follow-up and recordkeeping; provides information requiring comprehensive knowledge of institutional policies, procedures and special departmental issues; and ensures confidentiality of information; places office supply orders and maintains decorum in the office as well as keeping the office front-end, the copier room, the storage areas and the lounge clean and in proper order; takes notes during official staff meetings and keeps record of the minutes in a minute binder; performs other duties as assigned by the Dean.

Minimum Qualifications

High school diploma or GED required.


Minimum three (3) years of administrative/secretarial experience required.

Knowledge Skills and Abilities

Comprehensive knowledge of and skill in the practical application of office practices, procedures and equipment; general knowledge of and skill in computer base knowledge and the use of word processing, database and spreadsheet software programs; skill in composing a variety of correspondence; in operating manual and automated office equipment; in managing filing systems; in gathering and summarizing information; in maintaining confidentiality of information and handling sensitive matters with discretion and tact. Ability to project a professional and positive image; to understand, follow and communicate effectively both orally and in writing; to make effective oral presentations; to plan, organize, prioritize and execute complicated and continuing assignments without instruction.

Special Requirement: A skills level assessment will be administered to candidates on Microsoft 2013 Word, Excel, and PowerPoint.
